Spring Santa Clara University Mar 29th-March 31st 2019

Dear Coach:
Santa Clara University Philalethic Debating Society invites you and your squad to our annual Invitational Speech and Debate Tournament to be held on Friday to Sunday, March 29th to March 31st. In order to end at a reasonable hour, we have adjusted the tournament schedule to model the schedule of the Fall Tournament. The tournament is designed to foster interscholastic communication and reasoning activities outside the classroom in a supportive, educational atmosphere.

Events and topics

Debate will have 5 preliminary rounds. All individual events and debate formats will have a Novice and Open Division.

We will use the March/April LD and the March AND April Public Forum topics. Choose accordingly. You will indicate which topic you wish to debate on below.

Cap Limit!!!!

Each school will be allowed 4 entries per event per division. Entries past the cap will be waitlisted and will be moved into the tournament if space is available. ​We will be prioritizing students based off of the time they signed up as well as the preparation they have put into the competition if there is a need for additional requirements to determine who gets to go (this mean's we reserve the right to go with final coach's discretion). In the past we have gotten all of our entries off of the waitlist but given the popularity of this tournament it is important you sign up on time.

Given these cap limits we encourage students, coaches and parents to discuss which debate topic and division is suitable for them. 

If you are an 8th grader an in an experience class, you should be going Varsity at this tournament to give our students from the beginner class, a chance to compete at this tournament. We reserve the right to bump people up or down in divisions in order for us to make accommodations for as many entries to compete.

It is your responsibility to make sure your partner in a partnered event has signed up. We may not remind you that your partner has not signed up. ​

​Entry Price/ Online Payment

We are only accepting online payment!
After you have completed registration you will receive an email from Nadia Budiman for payment and afterwards a second form of confirmation that we received your registration information and payment. Please make sure to pay online via the Square invoice that will serve as confirmation.

Registration is not complete until payment is received. Payment must be paid at the end of registration to finalize your entry. Failure to make payment means you don't enter the tournament until payment has been received. This means you risk going on the waitlist.

Drop Fee's

Registration will close March 17th. No student will be added after that date. The drop deadline is 11:59pm on March 26th . We will be going by the time stamps on your email to info@tgsastaff.com and nbudiman@tgsastaff.com. Please make sure to put in the subject line "DROP: SCU Spring" . Any drops after that will result in forfeiture of fees.

Payment deadline: If we have not received you payment your child won't be registered. 

The last day to drop from the tournament with a full refund is March 26th. After that date you are required to pay the full amount.

Deadlines

While we do not wish to apply any fee's on our competitors, we have had too many issues in the past with individuals dropping after our drop date. Understand that drops cost us a great deal of money and labor which puts a heavy stress on our small business.. 

Please talk to your students about signing them up to a tournament. If they do not feel 100% prepared, talk to your coach.

Please add the drop date to your personal calendar.

Drop/Change deadline for full refund is March 26th. If you drop after this day, you will lose your entry fee and may accumulate additional fee's. See bottom.**

Single event drops after the deadline will result in a $100 fine per dropped event.

Regarding Team Events: In the event that one partner drops, that partner will be required to pay the full registration fee for themselves in addition to a $100 fee to help cover their partner.***

* If you sign up a judge, drops will incur a $100 fee, on top of difference owed on the original, non judging registration fee. Please understand that it extremely difficult and expensive to find last minute judges, if any are available at all. 

** We do not guarantee any exceptions, emergency or otherwise. Please plan accordingly. 

*** Parents with partners must coordinate with each other to ensure that they can register for a tournament. Parents may ask info@tgsastaff.com, the team's coach, Nadia Budiman, Nathan Leal or Victor Rivas Umana for help and contact info but understand that the obligation is ultimately with the parent. If you do not feel comfortable with the teammate, please inform us so we can find a solution for future tournaments

​​​​Pick up, drop off, & Transportation

All student and parents must organize there own transportation to the tournament. No form of transportation will be organized by the coaching staff. Student are expected to be picked up as well as dropped off by a legal guardian. Student MAY NOT take PUBLIC TRANSPORTATION!

(Please note that parking is $8 cash on Friday before 8pm; Free on Saturday & Sunday)

Pick-up and Drop off:
  • When you Arrive on campus all student should go DIRECTLY to Benson Center. A GSA coach will be waiting in the cafeteria to meet you. NOTE that a pick up time has been Set HOWEVER, tournament never run on time. Student will be instructed to call parents if there are any changes to the schedule.

5pm-7pm   Round I Debate LD/Policy/Parli/PF
7pm-9pm   Round II  Debate LD/Policy/Parli/PF

 9:00pm Parents should be on campus ready to check students out, we won't be allowing students to walk off campus alone.

7am-8am  Final Registration – IE only schools - Daly Science Room 106 (students judges will be checking in at this time as well)
8am-10am  Rd III Debate LD and Policy/Parli and PoFo /Congress Rd 1 (Bills 1-2)*
10am-Noon  Round I  Events
Noon-2pm  Rd IV Debate LD and Policy/ Parli and PoFo / Congress Round 2 (Bills 3-4)*
